Requests for help

People ask in the way that suits them: from a public link you can put on your website, from the Eden member app with their details already filled in, or through someone on your team who takes the request down for them. They choose one of eight kinds of help, tell the story in their own words, add an amount and a date when money is involved, and consent before anything is sent. The confirmation carries a reference number and explains what happens next.

  • An urgent line. Anyone who is unsafe, without food today, or facing eviction this week is pointed to a number to call now.

Review queue

Every request sits in one queue with its status, category, amount, and the person who asked. The counts across the top show what is open, what is waiting on a member, and your median time to a decision. Opening a new request starts the review and makes it yours if nobody has it yet. Each request carries a target date for your team, and time spent waiting on the member is added back, so the clock only counts the time a request is with your team.

  • Statuses at a glance. Submitted, in review, needs info, approved, declined, and withdrawn, each with its own count.
  • Assigned to me. Filter to your own requests or by category, or search by name, need, or reference.
  • Campus by campus. A Care role can cover the whole church or one campus, and a campus role sees only its campus.

Asking for more

When a request needs a pay slip, proof of address, or a letter from an employer, ask for exactly that. Pick from the documents reviewers ask for most, or describe anything else in your own words. The member sees the list in the app and in their email, uploads the documents from the app or replies with a note, and can say which items they cannot provide and why. Their reply sends the request back to review, and if three days pass without one, Care sends a reminder.

  • The usual documents. Pay slips, landlord bank details, proof of address, medical quotes, and employer letters are ready to pick.
  • Honest answers. Members can mark what they cannot provide and explain why, instead of going quiet.
  • A paused clock. Waiting on the member pauses the decision clock, and it resumes when they reply.

Decisions

Approve with the amount you agreed and the next steps the member will read. In the same step, open a follow-up task for yourself and a draft expense in Finance, so the money still goes through your usual approvals. Decline with a kind message and a reason your team keeps to itself, and offer a conversation with a pastor when that is the better help. The member sees the decision in the app, and you choose in the same step whether to email and notify them.

  • Reasons stay inside. The internal decline reason is never sent; the member reads only the message you write.
  • A door left open. A declined request can offer time with a pastor and an invitation to ask again later.

Member profile

Open the person's profile right beside the request: their household, twelve weeks of attendance with the last time they were in, their groups, and any earlier care requests, so a decision rests on the person and not only on the form. A twelve-month giving summary with the top funds and the last gift shows only to staff whose role already covers giving. Every time someone opens the profile, a staff-only line on the request's trail records it.

Pastor bookings

People book time with a pastor without trading emails: from a public booking link, from the Eden app, through a Care manager or the pastor, or from a declined request when a conversation is the better help. Each pastor sets weekly hours and time off, serves one campus or every campus, and meets in person, by phone, or on a private Cendance Meet video call. A confirmed booking appears on the pastor's calendar, including Google Calendar when they connect it, and both sides get a reminder the day before.

  • Instant or accepted. Confirm bookings on the spot, or have pastors accept each one while the time is held.
  • Change of plans. People choose another time or cancel from the link in their email or from the Eden app.
  • Private by default. Only the pastor and your Care managers can open a booking's details.

Follow-through built in

Care handles the routine steps on its own. It reminds a member who has not answered in three days, adds the time spent waiting on them back to the decision target, and marks bookings completed once they end. Confirmed bookings go onto the pastor's calendar, and video calls get their own Meet room. When a pastor does not accept a held booking in time, the slot opens again and Care asks the person to choose another.

  • Reminders. A member who has not replied in three days gets a reminder, and the trail records it.
  • Calendar and video. Confirmed bookings reach the pastor's calendar, and video bookings get a private Meet room.
  • Holds that expire. A booking waiting on the pastor holds its time, then frees it and tells the person when the hold runs out.

Who can ask for help?

Anyone. Members ask from the Eden app with their details already filled in, anyone else uses your church's public Care link, and your team can record a request for someone in your directory who calls or stops by. When the email or phone number on a request matches someone in People, the request joins their record.

Who sees a request?

Only staff with a Care role, and each role covers either the whole church or a single campus. Private notes and the reason behind a decline stay with your team, and members only ever hear from the Care team. The request's trail also records each time someone opens the person's profile.

What happens when a need cannot wait?

Set an urgent line and the hours someone answers in Care settings, and the request form and the member app both show it on an urgent card, so anyone who is unsafe or out of options today has a number to call. Until you set one, the public request form shows the phone number of the person's campus instead.

How does approved money get paid?

Through Finance. When you approve a request, a reviewer who also handles expenses can create a draft expense for the approved amount in the same step, and it goes through your usual expense approvals before anything is paid. Nothing is paid from Care itself.

How do pastor bookings work?

A Care manager adds each pastor with their campus, the ways they meet, and their weekly hours, and pastors keep their own availability and time off current. People pick an open time from your public booking link or the Eden app, or a Care manager or the pastor books for them. You choose whether bookings confirm instantly or wait for the pastor to accept, and each confirmed booking goes onto the pastor's calendar.
